JOB TITLE: Program Assistant

REPORTS TO: Suffolk County Division of Mental Hygiene

DEPARTMENT: Suffolk County, Department of Health, Division of Mental Hygiene, ADULT SPOA Unit

HOURS: Monday-Friday, 9am to 5pm

QUALIFICATIONS: High School Diploma required

JOB FUNCTIONIn this position, you will assist the Adult SPOA/ AOT & Suffolk County Care Coordination programs, supervisors and unit staff with day to day operations, associated with the success of the department. You will also assist with clerical responsibilities for the Division of Community Mental Hygiene as a whole. You will help ensure seamless work flow and communication of highly sensitive information in a timely and confidential manner.

ESSENTIAL FUNCTIONS:

  • Draft correspondence and reports
  • Maintain department files and track cases
  • General Office Duties including:
  • Maintain & order supplies
  • Log, print and distribute correspondence
  • Type and mail out letters, photocopy forms,
  • Heavy Filing, Organization of Clinical Records
  • Heavy phone duty
  • Ability and willing to help out other personnel when needed
  • Coordinates work with appropriate internal and external personnel to ensure all are properly informed
  • Maintains and ensure compliance of regulations, policies, and procedures

COMPETENCIES:

  • Strong organization and follow-up skills
  • Ability to attend to detail and function independently when needed
  • Possess excellent communication skills, professional demeanor, team-orientation and ability to handle multiple tasks in a fast-paced environment
  • Working knowledge of Microsoft Office programs: Word, Excel, Outlook
